Do you support multiple currencies?

I need to be able to send invoices out in USD as well as GBP - is there any support at the moment for multiple currencies?

  • No, not yet.

    We're introducing 'Other Currency' support quite soon - in line with our plans to support use in countries other than the UK - but that only means a single currency for each country. Euros only in Ireland, for example.

    Multi-currency accounting is very complicated. One complexity is the way you handle Invoice Payments received from your client. How can we tell whether the payment credited to your bank account is the full amount if we don't know the GBP equivalent. How much are you owed in total if some of your invoices are in USD and some in GBP? What if the exchange rate changes?

    It would be interesting to know how you handle this at the moment.

    There are ways to handle this Ed. There's a process called 'triangulation.' We can avoid a lot of that by simply concentrating on the cash aspects but as you still need to account at the end of periods, it's as well to bite the bullet.

    You can estimate the GBP equivalent at the time of billing. There will likely be a change between billing and receipt but that's either a (usually) small net gain or loss unless you're working in highly volatile currencies.

    The bank statement should provide sufficient detail and in any event, the customer often provides either an electronic remittance advice or a paper version.

    Whatever happens, there is usually evidence of one kind or another that can be relied upon.

    Sticking with a single currency choice per country won't work. Many of 'us' are working across multiple currencies - in my case 3 (USD, GBP and Euro) so the choice needs to be there.

    This is an important subject for me as like Dennis I have use the main three currencies and have separate bank accounts for each. I would like to use FreeAgent but this seems a stumbling block - do you have any suggestions?
    Should I have a GBP account then 2 'Universal' accounts for USD and Euro?

    We don't currently have any tools to automate that, but it is something we want to understand better. At the moment it's a question of manually backing up to the beginning of the current accounting period, but with our statement import that needn't be too onerous.

You may've seen my other post as an idea about subscriptions taken out by clients and being able to populate (if that's the right word) each invoice with info on what they have bought and when it expires.     other thing is that in CZ usually in your and the invoicing company contact field is written also IC = identification number of your business and DIC=VAT number if applicable.

  • We probably should as a minimum allow you to customize what the 'Company Registration Number' and 'VAT Registration Number' are called, as I know this is an issue for other countries too. We'll work on that.

    You could always add IC=xxx and DIC=xxx to your Invoice Comments for now. Each invoice you create after that will include these comments by default.

    We are working hard on producing some invoice templates for you to choose from. The next step will be to allow you to create your own, probably based on CSS styles for the time being.

    I'm not sure that will give you the language flexibility you need, though. Of course, if you help us get enough Czech users, we'll produce a localized version just for you ;->

    I too have an issue with foreign currency. I work in the UK and invoice almost exclusively in USD. I currently receive payment via paypal.

    I am just looking at using freeagentcentral.com to manage my accounts, but it's currently unusable for me because of the multi-currency requirement.

    We're shortly going to be introducing some improvements to our Paypal statement handling to better deal with receiving payment in USD/EUR into a Paypal GBP account (instantly converted).

    However we're not going to be able to support your USD invoicing requirement - while at the same time accounting in GBP - until later on in the Summer. If I had to guess, I would say late August.

    Sorry if that's not the answer you need to hear just yet. Do please keep up to date with what we're doing and I'd be happy to extend your free trial until we can meet your requirements.

    Thanks for the update. It's a shame because it looks like freeagentcentral would be ideal for me, apart from the multiple currency issue.

    I'd like to have the free trial extended, and I'll have a play around with some of the other features to make sure they do what I want/need.

    • Robin - properly handling multiple currencies isn't trivial - as I'm sure you're finding out. Articulating it in software can be a royal PITA so I'm not surprised the lads are being cautious about time to availability. BUT, if they do get it done then as far as I know they'll be the only provider in their class to offer that. It makes a HUGE difference. Hang in there, it will be worth it. FWIW - I'm in the same boat. All funds received in ££ or $$ but I mostly need € !!

      To make matters worse, I get expenses in ££, $$ and €€. eek.

    • Commiserations - I've had the problem for 11 years though pre-Euro it meant managing 10 currencies on expenses. Tip - if this helps: I draw down from PayPal in Euros - all my recipts are in $$ to the Euro bank account. (I live in Spain so report in Euros - the same idea works for GBP)That way I'm receiving 'actual' value I can put to my accounts. I don't bother with worrying about conversion at time of billing etc as it's all pretty irrelevant for accounting purposes. Accountants might argue otherwise in the detail but as an ex-accountant used to dealing with this situation I can say the only thing you need worry about is being able to show the PayPal statement to 'prove' what you've done.

    Hi Ed, just to let you know I also have this requirement - although I invoice most clients in sterling in the UK, I have one client in Sweden who I invoice in SEK. They pay in SEK to my UK company bank account. The bank does the conversion and credits the sterling equivalent to the account.

    It sounds like you'll have this sorted quite soon, so I'll hang on to my Swedish invoices until then!

    I also need the ability to have a bank account that's in a different currency from my 'base' currency. For example, I have a UK bank account for my UK clients and a Danish bank account for my clients here in Denmark. I'm currently having to ignore the references to 'kr' (kroner) in my UK account in FreeAgent and pretend they're UK pounds. However, that messes up the profit and loss and other general accounting functions...

    Thanks for making contact. Development for our multi-currency invoicing is well underway but we don't expect to be handling multi-currency banking for a while. It's significantly harder and we need to do some more research into the most usable way of doing it.

    I need this feature as well. I am working with US and EU customers but right now because of FA limitations I need to send them invoice with GB pounds, even though they pay in their currency. It looks unprofessional.

    The easiest way of making it working for me would be to give me a possibility to specify two currencies. The default one would be made in GB which will go into accounting and a custom one which can be customized by me and will have only effect on the invoice.

    Users are asking for this feature for more than a year already, I hope FA will do something about it eventually?

    At the moment I don't have the need for managing bank accounts in different currencies, but some of our clients are invoiced in foreign currencies (USD or EUR), so we do have some multi-currency requirements.

    Echoing Radek's post, here's a suggestion that would provide the functionality that I'm guessing many of us need, without having to build a full multi-currency accounting system across the board:

    Allow hourly rates and other line entry items and the invoice as a whole to be specified in a foreign currency. However when saving it, use a current exchange rate to store the expected GBP total as the value for the invoice for all accounting/reporting purposes.

    The client would receive the invoice with all values in the foreign currency. Then when payment is received e.g. by bank transfer, the transaction can be "explained" by linking it to the foreign currency invoice, which then gives a actual GBP figure to the invoice and an actual exchange rate.

    If required the difference between the expected and actual figure can automatically be added as an exchange rate gain/loss. An alternative is the real amount overrides the expected.

    As it is, the way foreign currency invoices have to be managed is to approximate the foreign currency hourly rate in GBP for timesheets, create GBP invoices in Free Agent, manually create separate foreign currency invoices using a word processor, keeping them filed separately, and then have to do the manual explaining the difference as an exchange rate gain/loss once they're linked with the actual bank entry. This is very laborious and error prone, particularly when recording timesheets automatically into Free Agent.

    A similar process could be used for expenses, so they can be entered in a foreign currency as per the receipt, but the entry in the bank statement would be in GBP and could be linked as an explanation to the expense. This would be extremely useful for travel expenses.

    This approach would keep the actual Free Agent accounting system, i.e. reporting, transactions between accounts, etc, still in a single currency, but the invoices and expenses can record their original currency amounts.

    This wouldn't solve everyone's currency issues, but may be a good interim step.

    Thanks for your suggestions - it is very much along those lines that we're planning to develop our multi-currency support initially.

    We're frustrated here, too, that we've needed to prioritise other improvements to FreeAgent above multi-currency support. We believe it'll be a really important addition to FreeAgent, and it is moving closer to the top of our list every day.

    Having read James' suggestions, I think that would satisfy most of my needs too.

    I only have GBP bank accounts, but I need to invoice in EUR and USD, and also charge expenses in both currencies - often incurred in GBP but billed in EUR or USD!

    I also receive some payments in the billed currency via Paypal. This is then withdrawn to my GBP bank account.

    It sure would be nice to keep track of all this in one place.

    Our company is increasingly dealing with customers abroad. Multi-currency feature is a must for us. I would imagine, there are plenty of freelancers who have similar issues.

    I am appalled by FreeAgents comments that it is difficult to implement and that there are other priorities. I was hoping that at least they will say they are working on it and give indication of when this would be implemented.

    The only solution I see - if FreeAgent is not able to do it - we will have to move to different software provider (like xero.com), who have the multi-currency support.

    That, of course, will be a bit of hassle (changing accounting software or accountant always is), but it will be worth it in the long run!

    I'm sorry you're frustrated. We appreciate that you and other customers really need multi-currency functionality in order to run your billing effectively.

    We are definitely committed to releasing multi-currency in the near future, but there have been a number of features that users have felt equally passionate about, that have also been important for us to address. I hope you can appreciate that it's impossible for us to do everything at once, so we therefore have to prioritise our release schedule based on our own internal considerations as well as user feedback. We're not always going to keep everyone happy with that.

    Anyway, now that many of the other oft-requested features have been released (or are near to release) we will be able to start work on multi-currency shortly. I hope you can bear with us until then.

    The main issue I think is that the 'near future' has been thrown around for a year. That's just poor expectation management, if it's going to be included in the next release and you do, and major releases are monthly, that would be a better indication of how long the wait is.

    I appreciate you can't do everything at once, although we are taking more foreign currency than pounds at the moment (USD & EUR specifically), and it's slowly becoming a blocker for us. All the other nice features (which other competitors don't have) will soon not matter.

      I'd agree with your comment about poor expectation management, and to be fair we have learned a lot since comments were made a year ago.

      Multi-currency won't be available in the next release, due in the next week or two, as that's taken up with invoice reminders, but it will be the focus of one of the next few releases. I can't give any more details than that, because we haven't decided the exact release order yet, but when I have more details I'll let you know.

    Hello everyone,

    Just to let you all know that we've had a chance to clear the decks since the last release and have now confirmed that multi-currency invoicing will be the focus of our next release.

    Support for multi-currency will come in incremental additions within FreeAgent, and we aim to solve the common problems people have first, with other improvements and enhancements coming later down the line in subsequent releases.

    We do want to take the time to do things right though, so I can't give a release date, but we're excited about getting this underway and we're looking forward to the release as much as you all are.

    Most of our invoices and many expenses are in EUR and other currencies, although we are a small UK based company. The bank account is GBP but we must invoice our project in the home currency of the client.

    I checked out xero.com and it looks good, but no project / job costing, so no use to us, although it does have strong currency support.

    I’m just adding my voice to the crowd, please get multi currency support working soon - I’m on a trial account at the moment and FreeAgent looks fantastic. However, up to now I’ve been entering historical data - and if I were to use FreeAgent full time it would be a huge hassle not to have multi-currency support. The majority of the work I do is abroad and I often have to invoice in the local currency. In addition a large amount of my expenses are in other currencies. I can get around the expenses issue (though it’s a huge pain) by manually looking up historical exchange rates, but I won’t be able to use invoicing at all.
    I’m afraid this might be a blocker for me and I’d have to use Xero (which in every other respect I find a lot less attractive than FreeAgent)

We have GBP, EUR and USD accounts (most of our revenue is USD) and would love to cater for the foreign bank a/cs in their 'native' currency. In the meantime, we are using the same process we used in Quickbooks (I just shuddered involuntarily at its mere mention!) -- we allocate a nominal sterling value for transactions where there isn't a known/specific sterling equivalent. It means a bit of chopping to the CSV upload we do but we can live with it for the time being. Again, congratulations on a wonderful service.

    Just to clarify what you're needing here: just the ability to enter a foreign currency out-of-pocket expense, which hasn't gone through your UK bank account or credit card and therefore already been converted into Pounds?

    Or are you needing Foreign Currency bank accounts too?

    I need to:


    • Create expenses in GBP and bill them in EUR (eg. flight to Europe bought in UK)

    • Create expenses in EUR and bill them in EUR (eg. incidental expenses, paid for in cash in EUR whilst in Europe)

    • Create expenses that were paid for in EUR on a GBP credit card (transaction in EUR, appears on my credit card statement in GBP, needs to be billed in EUR)



    I'll probably need to do a similar thing for USD too.

    I just love FA, so big thanks for making our accounts just so much easier to manage.

    But (there's always a 'but' :), I could really do with the ability to have a US$ bank account.

    We invoice in both Euro and US$, if Euro we provide Euro bank account details, if US$ we provide US$ bank account details, so currently managing payments in US$ is really painful.

    Any update on when this will be added? Any recommended workarounds in the meantime?

    I checking the suitability of free agent for some of my clients in Canada. Because of Canada's proximity to the US and its ties to the UK all my clients deal with multi currencies in their invoices. Free agent has a excellent feature to prepare quotations or estimates. Unfortunately I can not use the software because all my clients charge there customers in Canadian or US $s and many times in Pound sterling and the Euro. Due to globalisation even small businesses need to do business across borders to thrive.

    we regularly invoice in US$ (not euros - our default currency) and the customer pays into our US$ account. So just the ability to have both euro and US$ accounts would help.

    Although, what's there today is workable by maintaining our US$ account in Euros (within FA), exporting the US$ account in csv, use the daily xe.com rates to convert to euro and upload to FA. Not ideal but workable.

    It would be good to understand when you might tackle this and what that might mean.

I don't see that I can do this without some kind of workaround like submitting an invoice per currency (which just looks unprofessional).

    Either I'm missing something obvious or FA really isn't helping.

    Very frustrated here. As a company we are starting to use more EU services and bill more in EU curency as FA billing doesnt support multi currencies we have to do messy work around.     I can't even begin to do my accounts with FreeAgent without being able to deal with the multi-currency transactions in my paypal account. I thought I could work round it by creating multiple paypal accounts, one for each currency, and moving money between them, but that is not possible. So, I'm stuffed.

    We're hearing you loud and clear, and I can say with certainty that multi-currency banking, expenses and bills are moving their way inexorably up our roadmap.

    Decisions about feature priority is always a complex balancing act and we have some headline changes we need to make first. We're also constantly working to grow the development team and accelerate our pace of improvement, but beyond that I'm afraid I can't promise any specific dates.

      I sense you're not for turning on this, but I want to say that I really feel this total refusal to give *any* indicative time frame on feature development hurts your brand and comes across as arrogance. Your customer support is generally amazing which makes this arrogance even more startling -- its so "out of character" for you.

      Specifically, I don't see any evidence that you are putting yourself in your customers shoes and attempting to view this from our perspective. For example, if I knew this feature was coming in (for example) four months, we would plan for its arrival to make sure we could avail of it as soon as it is available. But telling us *nothing* removes our ability to plan ahead -- can't you see that informing us the feature is coming (with some degree of specificity) adds value to the feature itself?

  • The problem is that our customers have just so very many different pairs of shoes for us to put on. Our frustration that we can't give everyone what they want is something we live with all day, every day.

    I'm afraid it's a chicken-and-egg situation. The best way for us to accelerate development of this kind of feature is to grow our customer base so we can pay more developers. That means just now at least building for the many rather than - if you'll forgive me for saying so - the relatively few.

    We've found from bitter experience that what hurts us more is making promises we don't know for sure we'll be able to keep. It truly isn't arrogance, it's honesty albeit of an unpalatable kind.

    What I can guarantee is that when we do have something like a date we can be confident about, you'll be the first to know.

    • Forgive me if i'm being naive, but the features you seem to be focusing on currently are "would be nice" additions - not fundamental PROBLEMS as this is.

      There is NO decent work-around to international billing and it effectively removes the ability to manage international clients using your software, with the only workaround being incredibly hackish.

      This IMO must be one of the largest flaws with your system.

      Perhaps if we have more transparency and could know what you are working on then there wouldn't be so much frustration here!
    • It's your business, but I find it hard to believe that the features that have been coming through recently are fundamental to what people need--even if they collect the most votes. And I suspect you don't know how many potential clients aren't even trying because of the multi-currency issue.

      I really like free agent, but the current situation makes it look amateur, and messes up my invoicing.

    I must say, I feel the same way as William. I see features being added which are simply nice-to-have, and often just eye-candy. Meanwhile, I am actually unable to do a lot of my accounting because of the lack of multi-currency support. It's not as if this is a relatively new thing - this particular question/issue was raised *over three years ago* !!

    I appreciate that you have a limited development resource, but really this is becoming an absolute deal-breaker for me - currently FA does not do what I paid for and I may consider seeking a refund if I don't see some progress soon.

    We also have a requirement to support multiple currencies (which Xero does quite nicely for us atm). Personally I prefer the FreeAgent app and would probably switch if we could.

    My business involves working with developers of a complex web application (this Spanish property portal) and I completely understand Ed's predicament. There's always a pecking order of stuff to work on, and not everyone will be happy with what makes the cut, and what doesn't.

    Many software projects rely on other projects being completed so it's often not a simple case of "do this" instead of "do that".

    Ed's right - it's a balancing act, and only he can make those calls to keep as many clients as possible as happy as possible.

    It's not practical or feasible to reveal all the possible projects to everyone and then process the conflicting calls for prioritisation. That can work with an "either - or" choice but I guess that supporting multiple currencies is a fundamental infrastructure project with many implications on the rest of the app.

    We'd be using FreeAgent if it supported multiple currencies, but I understand that it's not the most important thing for most FreeAgent users.

    Until it becomes more important to more users, Ed would be mad to prioritise it above other stuff that can have a bigger impact.

    Just my two-cents worth.

      But I am intrigued by one sentence in your reply:

      How do you know this? If there is a publicly accessible "wish list" through which feedback from users is sought I would love to participate in it.

    I'm with the others on this one. We love freeagent however this is past being a slight nuisance. Having to do hacks to get bills through is more than a pain. Especially when this system was meant to be built to take all the pain away from accounting.

    We work in the development world so I appreciate you cant just flick a switch to get this working but the crooks are already there interms of invoicing in multi-currency. So I'm sure you can appreciate frustrations from users when this isn't high on your list.

    I only come to the forum when i have an issue or need some help. I assume the many FA users are the same and a large amount don't actually bother with the forum so you're missing a large chunk of users feedback. I would have thought it be better to run some kind of poll to find out what users really want.

    Wouldn't it be very quick for you guys to put together a quick poll, pop out an email out to all members and get real information from you customer base as to what the really want?

    We've been long time users of FA and in my role as a consultant i recommend you a lot. If this is resolved soon I'm afraid we'll have to find another system.

    Hello everyone,

    I'm actually responsible for product prioritisation so I guess I should be the recipient of all feature requests, complaints or death threats :)

    Get Satisfaction does act as a fairly good barometer to what's popular and what isn't thanks to some backend management tools. These are useful but aren't visible to the end user, so I think there's more we can do.

    We have actually been working on a project which will open up our development prioritisation and current focus more to the end user. As Ed mentioned user feedback is a key factor in our prioritisation process, but it is only one factor, and often there are other influences which you guys aren't aware of.

    There are 2 distinct points being raised here:


    • A frustration at the lack of visibility of our roadmap and development priorities

    • Multi-currency banking taking so long



    We'll be addressing the first point in the near future. We can't (and won't) give any promises on the second but we do promise to listen closely to what you're saying and factor this into our roadmap accordingly.

    I realise that's not going to be enough for some of you, but we've got to stick to our guns on what we think is best for our business in the long term.

    • in general any grown-up accounting solution must be able to handle every currency in every aspect of its functionality.

      from an accounting perspective it is absolutely vital that the journal entry is an accurate reflection of reality. so if a bill was received in euros it must be journaled in euros. if a euro bill was paid using sterling, the payment must be journaled in sterling.
      reconciliation must be handled in native banking currencies - anything else is a nonsense.
      these basic steps are the minimum requirements for an audit trail. you must be able to track the entry through from the documentary evidence all the way through to the p&l/balance sheet and back to the bank statements.

      The ledgers, however, are a different story. journal entries should be fxd into the currency of the stat books when they are ledgered. there may be fx gains/losses between receipt of the bill and payment (for example). there may also be fx gains/losses from the assumed fx rate and the rate disclosed in the reconciliation.

      This is a completely normal exercise for any grown-up accounts system.
      Until they are implemented in Free Agent, the software is equivalent only to Quicken (and probably not even that). Which is a shame, because the interface looks great.

      As to the discussion on transparency of development, I suspect that people would be mollified if you published your requirement specification together with functional and non-functional specs for comment as part of a review cycle. Once these were firmed up through peer-review, it would be realtively simple for any software project manager to perform time costing on the development and test cycles.

      The above is based on more than 30 years of software development and years of experience in business.

    I would also like to add my voice to describe my disappointment. One year ago we were told that this feature will be released in "near future" but it seems that we are not any closer.

    I think it is a real mistake not to implement the multi-currency support. This kind of feature you need to appear as a market leader and your competition already have it. It would be a shame to let your customers go just because that annoying multi-currency is not implemented and as you can see here many of us absolutely cannot live without it. You are doing great software and I hope it won't be too hard for you.

      To be fair the original question was in regards to multi-currency invoicing which we did deliver at the start of this year. And this functionality did satisfy the requirements of many of our users.

      Multi-currency banking was always going to be another step beyond that, and one that was required by a smaller group of people than multi-currency invoicing in general.

      That's not to say we shouldn't be taking it seriously (we do), I just think it's worth clarifying what was discussed previously in regards to this current discussion.

      @michael: if the transactions were paid into a GBP account then the bank would convert the USD amount into GBP at the relevant exchange rate. FreeAgent allows you to reconcile that with the original USD amount and keeps track of any currency losses/gains.

      This isn't what you're doing though, you've got a USD bank account and FreeAgent doesn't support this at present. We implemented multi-currency invoicing and the handling of payments into native currency banks, but not multi-currency banking.

      @Robin: yes, I agree with you, things get much worse with PayPal accounts as they often contain multiple currencies, and you should really have the multiple currencies reflected as individual accounts in FreeAgent.

      I don't agree that the implementation we've produced to date is half-baked tinkering around the edges but it's not done yet, and I'll hold my hand up there. However, we can't commit to a timescale for multi-currency banking just yet, other than it's something we want to deliver in the foreseeable future.

      I hate the idea of losing customers but if FreeAgent genuinely isn't working for you, then you've got to make that call.

    I subscribed to FreeAgent over 12 months ago (I know that as you've recently taken another subscription payment) and, while I've used it for simple invoicing, I've not been able to reconcile my multi-currency banking.

      Publishing specs (requirement, functional or otherwise) is not something we do.

      We have a good handle on what is needed to implement multi-currency banking. As you say there are some complications but we understand these.

      Once we've got more news to share I'll update this thread with more details about our chosen implementation.

    However, e2cargo has announced that they added multi-currency support for both invoices and bills.

    We regularly rotate the features listed on the Depot to get a feel for the different things people feel are important.

    Multi-currency banking was one of the initial batch of features on there, and we were able to gauge feedback on that, which has been useful.

    I am also pleading for multi-currency, particularly for PayPal. I'm looking around for alternative software as this issue seems to be swept under the carpet. I love the UI and all the bells and whistles the system has, but regrettably I *must* look elsewhere.

    @Wise Web Co. Don't hold your breath - I've been waiting > 3 years for proper multi-currency support.

    • Jo - have you looked at Kashoo? if so what has put you off? btw, I am not connected to the company in any way!
    • Just had a quick look at Kashoo. It has potential, but it's Canadian based, there's no payroll and the UI is a bit.... Windows 2003 (maybe that's bit harsh!). I'm not an accountant so I look at the pretty first.

    We have to set up two projects - one for billing time in local currency and another for the expenses which for most clients we manage to bill in pounds. Where we cannot then we have to make an invoice in Excel or similar.

    This has been a running sore in freeagent for a long time and they seem to have no interest in fixing it sadly.

    In November I made the massive mistake of enabling additional currencies in PayPal. I turned it off two weeks later. I'm still trying to tackle FreeAgent which thinks every currency is GBPs and now everything's a giant mess :(

    I really don't have time to manually enter every single entry and work out how much each transaction was worth in GBP. Which is anyway a total mystery because PayPal charge what they like.

    If anyone has any tips how to solve this, much appreciated. For example, with Multiple Currency on, a payment of $40 is handled as £40 by FreeAgent.
    • I reported this many times in the past, the recommendation was to use the automated PayPal feeds which cost extra per month. I have not them so I don't know if that would solve the problem or not.

      But it seems even if you don't enable additional currencies in PayPal but just get invoiced in a different currency, FreeAgent gets confused. This is very frustrating.
